The Phillips@THEARC Coordinator supports the administrative functions of Phillips@THEARC. This includes: managing day-to-day operations; supporting initial programs such as Create While You Wait, the Ambassador Volunteers Initiative, and the Living Room Gallery; supporting community stakeholder relationship building; and coordinating the final architectural and building start-up work.

Work hours 9:30 am-5:30 pm, Tuesday-Saturday

Full-time temporary position through July 2018

Supports Phillips leadership with Phillips@THEARC. Maintains timely and accurate communication among Phillips staff, community stakeholders, THEARC decision makers, consultants, and contractors including scheduling and facilitating meetings, conference calls, and email exchanges Ensures that all project details are attended to, deadlines met, and follow-up implemented. Supports the Phillips@THEARC Community Advisory Committee including supporting planning with Strategy Arts, managing communications with CAC members, coordinating meetings (including RSVPs, catering, gift cards), gathering data, distributing reports. Manages online booking system for Phillips@THEARC programs and spaces as well as effectively utilizing project management software to keep track of all details and team responsibilities. Prepares and reports on meetings and communications with key community stakeholders. Maintains supplies for workshop and gallery spaces. Supports the Phillips@THEARC Ambassador volunteer program. Maintains a regular presence at Phillips@THEARC. Most days: opens and prepares gallery and workshop space and closes and secures space at the end of the day. Coordinates with THEARC staff for regular maintenance and oversees all deliveries and mail, ensuring that all Phillips packages and post find their way to Phillips@THEARC. Supports the completion of the construction punchlist, communicating with key staff at THEARC and Building Bridges Across the River as well as with subcontractors. Maintains budgets for Phillips@THEARC. Gathers attendance data and other data points as developed. Provides additional administrative and programmatic support as needed. Performs other duties as assigned.

Ability to establish priorities, meet deadlines, and handle numerous assignments concurrently Demonstrated management experience, including proven success with project management Highly effective as team member and collaborator with strong interpersonal and communication skills Strong track record of paying close attention to details Demonstrated ability to employ flexible thinking and methodology Good public speaking skills and writing skills Can work some evening and weekend hours Ability to travel between THEARC and The Phillips Collection
