Administrative Operations Manager The School of Art at George Mason University seeks a highly qualified candidate to fill the position of Administrative Operations Manager (AOM). The role of the AOM is to initiate, coordinate and implement the multiple, complex facets of the School of Art’s operational functions in support of the School of Art’s CVPA’s and the University’s mission. The duties for this position are far reaching and vital to the ongoing success of the School of Art. The successful candidate must demonstrate strong initiative and vision to identify program needs and priorities and effect initiatives to successfully fulfill SoA vision and mission. Exceptional attention to detail and ability to follow through on all levels of multiple, simultaneous projects. The incumbent will work with the Director, Associate Director and faculty to manage operations for Graduate and Undergraduate programs, including admissions, scholarships and day-to-day program needs. Responsibilities:

Provide and manage administrative support for the Main Office of the School of Art Responsible for reception, mail, email and telephone requests, print service orders, conference room scheduling, absent professor class signs, faculty meeting minutes, copying, preparing letters, school tours, and paperwork for student requests Maintain School of Art outreach and marketing materials for prospective students and guests Maintain portfolio review results and liaison with CVPA Admissions in submitting results. Prepare letters and emails to prospective students Coordinate the progress with Mason admissions office and CVPA Associate Dean’s office of students who intend to enroll and coordinate undergraduate and graduate degree designations. Works closely with Alumni, Media and Outreach Specialist to plan, advertise and effect events to schedule and coordinate admissions events, open houses and student tours Coordinates with Program Directors to channel proper paperwork for curriculum and student enrollment, including independent study, course overrides and substitutions Plays an integral role in planning and coordinating special events, including National Portfolio Day, Arts by George and Off the Wall Maintain list of potential scholarship recipients for the Director’s review. Prepare offer spreadsheet for submission to CVPA Admissions. Prepare scholarship offer letters and confirmation letters Manages Work-Study/Student workers Monitor Director, Associate Director and Advisor calendars Prepare written communications for Directors’ correspondence and maintain files Acts as liaison for CVPA Deans Office communication to Directors and faculty Edits and updates Graduate Handbook in coordination with Program Directors Telecom Coordinator 25Live scheduling for events including camps (does not include course scheduling) Prepare Classroom Charts at the beginning of each semester Collects course syllabi at the beginning of each semester Arranging and writing minutes for department faculty meetings Disseminate information to staff, faculty and students Maintain listservs (Including staff, faculty, US News & World Report) Purchasing for Main Office and others as needed Work orders for Facilities Coordination and support for special events with other staff Key and building access requests Assist Technology Director with keypad access codes for School of Art Duties as assigned by the Director

Required Qualifications

Office management experience and working knowledge of appropriate and emerging software Excellent writing skills Superior time management skills Ability to process large amounts of information into appropriate channels Knowledge of academic institutional structure Superior interpersonal communication skills Knowledge of purchasing protocols Exceptional record keeping Strong interpersonal skills Excellent communication abilities
