While we do not expect every candidate to meet all of therequirements of a Board Relations Assistant, we are looking for a dedicatedBoard Relations Assistant that willmeetmany of these requirements and has the desire and capacity to learn the rest on the role.

The Board Relations Assistant willassist the Director of Board Relations with administrative tasks related to all BAM and BAM Endowment Trust (BET) Board business

Qualified Board Relations Assistant candidates will be able to:

Plan, organize and execute administrative tasks in support of the Director of Board Relations Foster an engaged Board culture through timely correspondence, meticulously organized meetings, and enthusiastic and conscientious communication

Essential Duties and Responsibilities:

Maintain organization of hard copy and electronic Board files including retaining records for the Archives Coordinate and manage RSVPs for meetings of the BAM Board of Trustees including its committees, and the BET Board Prepare meeting materials Update Tessitura with all Board activity and information pertaining to trustee participation and engagement Outline minutes and keep administrative records of meetings Update Board contact information and files in the Board Contact Sheet, Tessitura database, and other locations as needed Keep administrative records of all Board-related documents, including resolutions, trustee conflicts disclosure forms, and other governance documents Greet trustees and coordinate small-scale events & hospitality as needed Help connect trustees with Patron Services, Executive Staff, other trustees, and other internal and external constituents as requested Update ArtsVision and Development Calendar with Board activity Work with Special Events in coordination of Board dinners and smaller events as appropriate Prepare and send cards and gifts for trustees to recognize special milestones or significant losses Prepare awards to recognize key Trustee anniversaries Communicate with vendors and process purchase orders as needed Handle information requests from other departments

Minimum Qualifications

Two years of work/internship experience in an administrative capacity Experience working in an arts-related field preferred Meticulous attention to detail required Ability to multitask in hectic environment Excellent administrative, organizational and time-management skills Excellent written and verbal communication skills Excellent knowledge of Microsoft Office Proficient knowledge of databases (Tessitura preferred) Ability to effectively communicate BAMs mission to external partners Knowledge of the arts and interest in BAM programming is required

Preferred Qualifications:

Understanding of and interest in development, non-profit fundraising and donor relations Ability to prioritize multiple assignments and handle tasks in a positive, timely manner in a fast-paced environment High professional and ethical standards for handling confidential information Ability to handle complex last-minute requests Ability to demonstrate patience and interact in a friendly and professional manner Strong social and diplomatic skills in order cooperate with a wide variety of people and to diffuse challenging situations Deadline oriented Customer service oriented Ability to be discreet and flexible Concise communicator Ability to read and understand a budget

Compensation

Pay Rate:$20.00 per hour, 30-40 hours per week
