Development Coordinator

The Development Coordinator reports to the Director of Development and will assist in the implementation of the development strategy for ACT Theatre. You will support the development team in executing an annual plan that incorporates a range of strategies including annual appeals, major donor cultivation, institutional funding, individual appeals, and special events.

This position has significant responsibilities in the areas of maintaining and improving day-to-day Development office and data system integrity as well as developing accurate and timely daily, weekly and monthly gift, campaign, and prospect management reports and donor lists in support of ongoing Development operations.

Support of Annual Fund, Major Gifts, Institutional Funding, and Donor Stewardship Efforts 35%

Working with each member of the team, the Development Coordinator will assist in creation and implementation of departmental efforts including annual fund and major gifts campaigns and our efforts in the areas of institutional funding. Responsibilities include, but are not limited to:

  • Provide oversight and content for the Development pages of ACT’s website, as well as help building WordFly communications
  • Work closely with the Major Gifts Officer to implement major gifts mailings, events, and other Major Gifts needs
  • Manage Encore donor listings and oversee graphic design for each Encore
  • Work to support and implement an Institutional focused volunteer program
  • Support Institutional Funding programs and research including cultivation and grant research

Database, Mailings, and Gift Entry 30%

As the lead on ACT’s resident database, Tessitura, the Development Coordinator will serve as the go-to team member for any inquiries or needs from Tessitura.

  • Assist part time Development Coordinator with gift entry, ensuring all gifts and pledges are accurately recorded in the ACT Tessitura database, appropriately acknowledged, and reconciled monthly with the Finance office
  • Create distribution lists and track RSVP information using Tessitura
  • Day-to-day management and maintenance of donor database and donor files
  • Create and produce special reports, donor lists, and data retrieval requests for staff as needed, and assist in the production of custom reports
  • Create individual donor reports; improve systems for tracking donations and donor information
  • Act as Tessitura resource within the Development team

  • Remain informed on software updates, upgrades and additional services and user needs to provide recommendations and solutions in support of overall development office strategies

General Development Team Duties as assigned 35%

  • Maintain and improve day-to-day Development office systems
  • Support funding activities including invitation and solicitation mailings, events, and donor communication
  • Support cross-departmental communication and collaborations with Marketing and other departments
  • Other duties as assigned

Educational Background: BA preferred

Experience

  • 2 years of administrative, customer service, or sales office experience; development experience a plus

Skills

  • Computer fluency in MS Office and Tessitura or other constituent relationship management database software preferred
  • Highly professional interpersonal skills
  • Ability to work independently, set priorities, and move multiple projects forward simultaneously
  • Ability to maintain a high level of accuracy and attention to detail with data
  • Due to the sensitive and personal information this position handles, discretion is essential
  • This position is required to attend events throughout the year outside of business hours, including evenings and weekends
  • Understanding of and belief in the organization’s mission and vision
  • Comfort working with a diverse base of supporters, stakeholder, and staff

Compensation
This position is a fulltime benefitted position at 40 hour/week. Starting annual salary is $38,000-$42,000.
