Manager Special Events – Chicago Theatre

Role Summary

This role will book Special Events at The Chicago Theatre with both sales and management functions, working with existing clients and seeking new business opportunities. Work closely and in conjunction with the NYC-based Special Events team and VP Live. Events include, but are not limited to, television network up-fronts; corporate meetings; trade shows; seminars; fundraisers; film premieres; television and film shoots; private dinners, parties and graduations. Role includes the negotiation of contracts and financial terms as well as oversight over all aspects of event implementation to ensure client satisfaction and retention. Develop and maintain relationships with a diverse and complex client base: businesses, non-profit groups, universities and event planners. Participate in the development and implementation of Chicago/regional-based promotional/marketing strategies for the Special Events department via print ads, direct mail pieces and website content. Conduct competitive analyses to assess the local event planning landscape.

Specific Functions/Activities Summary

Respond to, track, and assess the viability of Special Event inquiries and potential for opportunities for The Chicago Theatre. Maintain existing business and develop new business Conduct venue walkthroughs with prospective and existing clients as needed Oversee the implementation of all secured event needs to ensure client satisfaction and retention including: production and décor requirements, catering needs, staffing requirements front and back of house, ticket scaling and sales (where applicable) Manage all aspects of financial and legal administration of special events including venue deposits, deposit letters, event budgets, deal memos, contract preparation / execution and insurance certificates Develop with Event Finance event budgets. Oversee and maintain budget accuracy from initial cost estimates through final settlement maximizing AOCF opportunity Negotiate financial and contractual terms and work closely with legal department in the preparation, administration, and execution of event contracts On site management at venue day of event. Ensure proper team coverage on multi-day events. Maintain and develop strong relationships with corporations, educational institutions, TV networks, charity / non-profit organizations, and area event planners to keep The Chicago Theatre top of mind when future events are considered Assist in developing the “look and feel” of MSG Special Events department marketing efforts and website presence Manage Special Events for several other departments throughout the company including Entertainment Sponsorship, Marketing Partnerships, and the MSG Action Sports Division


Strong experience and relationships in the Chicago special events industry (5 years + preferred) Experience in event budgeting and venue operations Knowledge of venue booking procedures Excellent verbal/written communication and project management skills Flexibility – ability to multitask, interact with diverse entities Teamwork – ability to work across various departments Excellent organizational skills Excellent self-motivational skills Ability to work in a fast-paced environment Ability to oversee events and interact with diverse and disparate personalities Ability to establish working relationships with people at all levels Knowledge of Microsoft Outlook, Word, PowerPoint and Excel


Candidates who have completed 60 credits of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred.Educational requirements may differ from job to job based on the role.
